Requirements
The applicant must have a grade 12 certificate and no experience is required. Extensive experience with MS Office packages, such as Excel, Word, etc., will be an assetGood Communication. Understanding the Public Service policies, prescripts and guidelines. Knowledge of the Basic Condition of Employment.
General Duties
Providing general clerical support – Recording, organizing, storing, capturing, and retrieving correspondence and data,
Registers and statistics are updated, routine inquiries are handled, photocopies are made, emails are received and sent.
Keep and maintain the component’s filing system, and distribute documents as required, maintain the component’s filing system.
Keep and maintain an incoming and outgoing document register for the component. Type letters and/or other correspondence when required.
Provide supply chain clerical support services within the component – Communicate with internal and external stakeholders regarding procurement of goods and services.
Purchase goods and services by obtaining quotations and completing procurement forms. Keeping track of office stationery stock.
Maintain the component’s asset register. Within the component, provide personnel administration and clerical support services –
Maintain the component’s leave register. The component should keep and maintain personnel records.
Maintain the attendance register for the component. Make arrangements for travel, accommodation, and venue booking.
Capture and update expenditures in MST Grant component – Provide financial administration support services.
Make sure the subsistence and travel claims of officials are correct, and submit them for approval to the Manager. Manage the MST Grant’s monthly cash flow.
